Quotation ready to sign
Fill in the fields and the quotation takes shape alongside, with the work, the price, the lead time and the validity period. Available in Portuguese, English or Spanish. When you are done, print it, and your browser's print dialog offers save as PDF.
Three steps, nothing to install.
Everything runs on your own computer, start to finish.
Name yourself and the client
Name, tax number and contact for each. These go into the header and the signature blocks.
Describe the work, the price and the validity
What you will do, what it costs, how long it takes, and how long the price holds. Without a validity period, a quotation is a promise with no end.
Print or save
The quotation is already finished alongside. Hit generate and pick your printer, or save as PDF from the print dialog itself.
Quotation or commercial proposal?
A quotation answers how much and how long. A commercial proposal answers the same and also frames the relationship: staged payments, confidentiality, jurisdiction. If you are quoting a job, a repair or a well-defined service, the quotation is enough. If you are proposing a project with phases and deliverables, the proposal is the right document.
An accepted quotation binds you too
The name is more modest, the effect is the same: when the client accepts within the validity period, the price and the lead time written there are agreed. A quotation with the work poorly described is as expensive to sort out as a badly written contract.
Write down what is not included
It is the line that avoids most arguments: travel, materials, permits, out-of-hours work, changes after approval. The work field takes free text, and that is where this belongs.
It does no arithmetic and no price tables
The amount you type is the amount that prints. There are no line items, no totals, no VAT calculated and no discounts applied. A quotation with dozens of lines belongs in a spreadsheet, attached.
It is not a tax document
A quotation is neither an invoice nor a pro forma invoice for tax purposes. Once the work is done, the invoice has to come from software certified by the Portuguese tax authority.
It is a generic template
It covers ordinary cases. Construction work subject to permits, building contracts and quotations carrying late-delivery penalties call for extra care and often for review.
Questions about the quotation.
Can I charge for a quotation?
You can, if you say beforehand that it is paid and how much it costs. It is common practice where the assessment is real work, such as a survey or an on-site inspection. Charging without warning first is not defensible.
How long should the validity be?
It depends on how much your cost can move. Thirty days is the most common. Where materials prices swing, shorter periods are normal and nobody finds them odd.
The client accepted by email, is that enough?
It works as proof of acceptance, as long as it is clear they accepted that quotation and not another. Keep the email with the PDF attached, not just the message saying yes.
Do I need an account?
Yes. Each document costs one euro, as a one-off purchase: you pay for that document and there is no monthly fee. The account is created by magic link, with no password. The declaration opens without paying, one a day.
Asked for a price?
Give it in writing.
