Termination letter

Fill in the fields and the letter takes shape alongside, naming the parties, the contract, the reason and the date it takes effect. Available in Portuguese, English or Spanish. When you are done, print it, and your browser's print dialog offers save as PDF.

How it works

Three steps, nothing to install.

Everything runs on your own computer, start to finish.

1

Name yourself and the recipient

Who is writing and to whom, with name and contact. It is what makes the letter a document rather than a message.

2

Say what ends, why and when

The contract in question, the reason, and the date the termination takes effect. Writing the date is what avoids the argument about when the relationship actually ended.

3

Print or save

The letter is already finished alongside. Hit generate and pick your printer, or save as PDF from the print dialog itself.

Proof of delivery matters more than the wording

A flawless letter nobody can prove was delivered is worth nothing. The standard route is registered post with acknowledgement of receipt, keeping the slip and the returned card. Hand delivery works if the other side signs a dated copy. Email works in many cases but is easier to dispute.

The notice period is the other half

Almost every contract, and the law in many cases, sets a minimum notice period. Sending the letter the day before does not shorten it: it only means the termination takes effect later, or gives the other side a claim.

Terminating, giving notice, opposing renewal

These are different things and the letter should say which one it is. Terminating for cause requires citing concrete facts; giving notice is ending it by choice with the required warning; opposing renewal stops a fixed-term contract from rolling on. Write which one applies in the reason field.

Nothing you type leaves your browser. The document is built on your own computer, is never sent to a server, and is not stored anywhere once you close the page.
Limits, said upfront

It does not send the letter, and sending is the part that counts

The builder prints. Registering it with the post office, keeping the acknowledgement of receipt and meeting the notice period is your work, and it is what decides whether the termination was effective.

Employment terminations need special care

Dismissal by an employer follows its own procedure, with stages, deadlines and rights of defence, and a generic letter does not meet them. A dismissal delivered by plain letter is, in practice, an unlawful dismissal. If that is your case, get advice before sending anything.

It is a generic template, not legal advice

Written from common Portuguese practice. Where money is in dispute, the other side is in breach, or litigation is likely, a review before sending is worth it. The document carries that warning printed in the footer.

Questions

Questions about the termination letter.

Do I have to give a reason?

It depends. Where you are simply giving notice, often no justification is needed. Where you terminate for cause, the reason is essential: it is what supports the right, and what is not written in the letter is hard to rely on later.

Is email enough?

It is for many contracts, especially where the whole relationship ran by email. But where money is at stake or a dispute is possible, registered post with acknowledgement of receipt is what proves itself without argument.

When does the notice period start running?

As a rule, from receipt by the addressee, not from posting. One more reason to keep the acknowledgement of receipt: it is what dates the receipt.

Do I need an account?

Yes. Each document costs one euro, as a one-off purchase: you pay for that document and there is no monthly fee. The account is created by magic link, with no password. The declaration opens without paying, one a day.

Need to end a contract?
